Enable Waiting Rooms for Guests

How to turn on waiting rooms for your scheduled meetings

You can enable waiting rooms when scheduling new meetings or turn on waiting rooms for previously scheduled or created meetings.

When scheduling new meetings

  1. You can enable waiting rooms for guests by selecting the 'Waiting room' toggle during the 'Schedule new meeting' screen.

  2. When waiting rooms are enabled, you have the option of allowing guests to review the meeting files while they wait. To allow guests to review meeting files while in the waiting room, select the 'Meeting files in waiting room' option in the dropdown.

  3. To prevent guests from reviewing meeting files while in the waiting room, select the 'No meeting files in waiting room' option in the dropdown.

Turning on waiting room for past meetings

  1. You can enable waiting rooms for previously scheduled meetings by first selecting 'View' meeting in KYZON Flow

  2. Then select 'Edit' to enable waiting rooms for previously scheduled meetings.

  3. From there, you can enable waiting rooms for a previously scheduled meeting by toggling the 'Waiting room' on.

Waiting room as a Guest

  1. While in the waiting room as a guest, you can check to make sure your camera and microphone are turned on.

  2. Next set your name for the meeting by typing it into the text field.

  3. If the Host has enabled meeting files to be viewed in the waiting room for Guests, they can select a document to review before they ask to join the meeting.

  4. The Guest can select a meeting file to review from the list in the dropdown menu.

  5. When a meeting file has been selected, the Guest will review the document in view-only mode and will not be able to make any changes while in the waiting room.

  6. When the guest is ready to join the meeting, they can select the 'Ask to join meeting' button for the Hosts to admit them.

Admitting Guests as a Host

  1. When the Guest 'asks to join meeting' the Host will receive a notification during the meeting to either 'Admit' or 'Deny' the Guest from joining the meeting. To allow the Guest to join, simply select 'Admit'.

  2. Hosts can also view and admit all Guests waiting to join the meeting through the 'Participants' section.
